Lyles Mechanical Co. is looking for a Full-time Office Administrator for its Fresno, Ca. location.

General Functions
Keeping the focus on the “operations” aspect of the division by performing day-to-day administrative duties and assisting the Project Managers with various assignments.

Essential Duties
Compiles a variety of letters and reports such as, expense reports, supply requisitions, diesel fuel reports, rental equipment updates, batch reports and time and material billings. Timesheets - provides daily timesheets to Corporate for field personnel. Collects field personnel new hire paperwork and sends it to Corporate, may have to track down missing forms and information. Invoicing, Filing - Sets-up and maintains department files and filing systems. Mail - Retrieves and delivers mail, may do outgoing mail, and other shipping. Phones - Answers phones, directs calls and/or takes and conveys messages. Xerox coping. Faxes - Faxing retrieves and delivers fax correspondence, sends outgoing faxes. Additional day-to-day duties may be assigned or performed as required depending on workload or other project requirements.

Physical demands related to office employment

Ability to sit and operate computer equipment for extended periods of time; work with hands, fingers and arm reach; ability to walk and stand and occasionally lift up to 25 pounds; ability to drive vehicle; ability to effectively communicate with a wide variety of employees; ability to act in a professional manner, keep composure and respond to other employees and provide accurate and clearly stated information.

Job-Related Qualifications
Construction office experience and APAR a plus, Knowledge of modern office equipment, office procedures, professionalism, spelling, grammar and punctuations is required. Microsoft Office Word, Excel and Outlook and good verbal and written communication skills are essential. Development Assistant - The Fresno Philharmonic

Duties and Responsibilities
The Development Assistant reports to the Development Director, providing essential assistance in attaining the financial goals of the Development Department at the Fresno Philharmonic.

The Development Assistant will:

  • Oversee data entry, donor acknowledgment, and accurate database records
  • Oversee compilation of donor and sponsor lists for Program Books
  • Coordinate and provide support in achieving special events and fundraising goals
  • Provide logistical and tactical support and follow-up for special events and fundraiser activities
  • Facilitate on-site event set-up/coordination and pre-event preparations
  • Maintain financial records and inventories associated with special events, including processing bills and revenues, reconciling accounts, reports, posting costs of events, and purchasing and ordering supplies.
  • Perform basic corporate and foundation prospect research including giving/contribution histories to this and other organizations
  • Perform administrative duties (MS Word, Excel, etc.) in tracking donor contributions and provide necessary presentation materials (acknowledgment, recognition, etc)
  • Oversee ongoing donor account maintenance and updates in Development
  • Develop strategies of cultivation for donors up to $1,000
  • Maintain historical files and records
  • Take minutes at Development committee meetings
  • Communicate with Development Committee regarding meetings scheduling
  • Represent Philharmonic at Development table at concerts and other events, as needed
  • Other duties and responsibilities as assigned by Development Director

Requirements:

  • Previous work experience using strong clerical and organizational skills
  • Reliable, excellent work ethic, and meticulous attention to details
  • Highly organized self-starter with the ability to meet critical deadlines
  • Able to work in a fast-paced and diplomatic environment
  • Physical ability required to lift, carry, and work independently with Development materials weighing 25 lbs. or less to meet concert, events and office needs
  • Excellent writing and communication skills to effectively prepare for and respond to Development inquiries
